Position Summary

 

We are seeking a Tender Assistant to join our Support Department team, starting January 2026.

Your key responsibilities:

  • Drive the administrative preparation of tenders:
    • Ensure quality by reviewing documents
    • Act as a key point of contact by managing contact with clients, experts and partners
    • Keep things on track: monitor, submit and follow-up of tenders
    • Update internal databases on opportunities, projects and external consultants
  • Spot opportunities for ADE, by screening and following up online market opportunities and monitoring the relevant calls for tenders on a daily basis, in collaboration with the management.
  • Support daily operations: undertake several general secretariat tasks, including office management tasks.
Candidate Profile

 

  • Degree as Executive Assistant, Secretary, Commercial Administration or related field, or similar by experience.
  • Minimum 2 years of experience in tender preparation for European Commission and/or other public institutions.
  • Excellent written and verbal communication skills in French and English.
  • Proactive, rigorous and detail-oriented.
  • Good in-depth editing and layout skills.
  • Good stress-resistance to handle challenges and deadlines.
  • Good organizational and prioritizing skills.
  • Team worker with strong interpersonal skills.
  • Fully proficient in MS Office (especially Word, Outlook and Excel).
  • Experience with WordPress, Canva and AI prompting.

EU nationality or valid work permit is required
